Office Administrator – Foothills Métis District Office
Organization Overview: The Métis are a distinct group of Indigenous people with a unique culture, history. and language. The Otipemisiwak Métis Government is created to pursue the advancement of the socioeconomic and cultural well-being of the Métis people of Alberta.
Position Overview: The newly formed Foothills Métis District is seeking an Office Administrator to play a vital role in supporting the administrative duties of the District. This includes facilitating communication within the District and with the Métis community at large. The ideal candidate will be Métis or possess a commitment to cultural sensitivity, and a passion for supporting Métis initiatives and programs. The selected candidate will have strong office administration skills and experience. The Office Administrator will report directly to the District Captain for the Foothills Métis District, and from time-to-time, members of the Board. Should discrepancies arise, the District Captain will have the final say.
Key Responsibilities:
Administrative Support – provide general administrative support to the office, including managing correspondence, schoduling moctings, and maintaining office supplies. Prepare and distribute meeting agendas. minutes, and reports in a timely manner. Assist in the preparation and filing of documents, ensuring that all records are accurate and up to date.
Communication – serve as the first point of contact for inquiries related to the Métis Office, providing information and directing calls or messages, as necessary. Maintain effective communication with community members, stakeholders, and other organizations. Assist in promoting Métis events, programs, and initiatives through newsletters, social media, and community outreach.
Event Coordination – support the planning and execution of community events, workshops, and moctings, including logistics, venue arrangements, and participant coordination. Collaborate with team members to ensure successful event outcomes, i.e., Social Committee.
Record Keeping – maintain accurate and organized records of oftice activities, community engagement, and program participation. Assist in data entry and management for various projects and initiatives including digitization of historical records.
Gultural Sensitivity and Community Engagement – demonstrate an understanding of Métis culture, history, and rights, ensuring respectful and informed interactions with community members. Participate in community events and initiatives to foster relationships and support community engagement.
Qualifications:
High school diploma or equivalent; post-secondary education in office administration or related field is an asset.
Proven experience in an administrative role, preferably within a nonprofit or community-focused field.
Strong attention to detail and organizational skills with the ability to manage muitiple tasks and deadlines.
Excellent written and verbal communication skills.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Familiarity with Métis culture, traditions, and governance is highly desirable.
Ability to work independently and as part of a team.
Strong interpersonal skills and a commitment to providing excellent customer service.
Location – In person office in Pincher Creek with occasional travel for community events and meetings.
Hours – Monday to Friday, 9:00am to 4:00pm. May require extended hours during peak periods or special events and occasional evening or weekend hours.
Compensation – commensurate with qualifications and experience. Paid vacation: Year 1 – two weeks plus statutory holidays.
